Terms & Conditions of Purchase and Ownership

Terms of Purchase

Order Confirmation

An order is confirmed once full payment of the sales invoice has been received. Any agreed non-standard payment terms for special orders will be stated on the invoice. As all products are custom-made to each customer’s specification, manufacturing will not begin until payment is received. In all cases, full payment is required before delivery.

Order Details

Our priority is to ensure your order meets or exceeds your expectations. During the sales process, specifications may be discussed across multiple conversations. Once payment is received, we will confirm the final agreed specification by email within 24 hours. If no special notes are listed on the sales invoice, your product will be made in accordance with our standard specifications.


Guarantee

All products are supplied with a Guarantee that exceeds the requirements for bespoke products under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.

We understand that commissioning bespoke furniture is a significant investment. Our processes and guarantees are designed to give you confidence and peace of mind when purchasing from Kodawari Ltd.

  • If, after delivery, the size or style (such as base or leg design) is not quite right, we will adjust, alter, or replace the relevant component.

  • If a product arrives with aesthetic damage or a structural fault, we will prioritise repair and return. If repair using standard production methods is not possible, the affected component will be replaced.

  • Our website imagery, descriptions, and sales process are intended to set clear expectations of how natural timber furniture may appear.

  • Any modifications required due to a manufacturing error will be covered in full by Kodawari Ltd.

  • Modifications required due to customer error (for example, incorrect dimensions, colour choice, or a change of mind after delivery) may incur a charge. Where possible, we aim to make changes without cost and will always provide a quotation before proceeding if charges apply.

  • Replacement parts required due to customer error will be charged at cost (materials and labour). Where possible, replaced materials will be recycled to minimise costs.

If an issue is reported within 14 days of delivery and we are unable to offer an acceptable solution, we will arrange collection of the product(s) and issue a full refund within 14 days of collection.

This refund policy applies to all non-bespoke designs purchased directly by end-user customers.
For professional orders placed via a Commercial Partner (such as interior designers or architects), refunds apply only where the issue is due to a Kodawari Ltd manufacturing error.
Where issues arise from customer error on professional orders, we will either provide a quotation to resolve the issue or allow cancellation (see Cancellations below).


Special Requirements

Natural timber varies widely in appearance. Where special requirements are noted on the sales invoice, we will aim to meet them as closely as reasonably possible.

  • If a product does not meet expectations aesthetically and a like-for-like replacement would guarantee satisfaction, we will replace it.

  • If the issue arises from natural, unpredictable timber variation, a replacement may result in the same appearance and will not be offered.

  • Natural variations include knot size and frequency (within grading limits), colour consistency, and the shape, angle, or colour of live edges.

If you have specific preferences or concerns, these must be recorded on the sales invoice before payment. Requests based only on emails or discussions cannot be accepted. If no special requirements are listed, the product will be made using our standard process.

We cannot accept returns or replacements simply because a finished piece does not resemble an example seen on our website, unless your expectations or restrictions were clearly recorded on the sales invoice.


Lead Time

A target delivery date will be provided at the time of order. Lead time begins once all critical specifications are fully confirmed, including dimensions, configuration, edge style, materials, and upholstery colour.

Please note that we do not offer full or partial refunds or compensation for delayed deliveries.


2-Year Wood Movement Warranty

Natural timber responds to its environment, a process known as wood movement. While our design, material selection, and production processes minimise this, it cannot be entirely eliminated.

Wood movement typically occurs during the first 12 months in your home as the timber acclimatises to seasonal changes in temperature, humidity, and light. Temporary changes such as cracks opening and closing may occur during this period.

After 12 months, if excessive or practical issues remain, please contact us with photographs for assessment.

What Is Covered

Only excessive or practical wood movement is covered, defined as:

  • Cracks wider than 3mm

  • Variations in flatness exceeding 1% of the table width

  • Steps between joined timber pieces greater than 2mm

Refurbishment work is included, but replacement of materials is not. If refurbishment would result in unacceptable material loss, we can provide a quotation for replacement materials where possible.

Environmental Factors

Heat sources and strong light (such as underfloor heating, radiators, fireplaces, large windows, or skylights) may increase wood movement. Furniture remains covered by the warranty in these environments, but increased material loss may occur during refurbishment.

Duration

You have up to 24 months from delivery to report wood movement issues. After this period, any work will be chargeable. As movement typically reduces after the first 12 months, we recommend waiting at least one year before requesting refurbishment.

Refurbishment work usually takes 4–8 weeks. Courtesy dining tables may be available on request.

What Is Not Covered

Minor wood movement, wear and tear, staining, marking, refinishing, accidental damage, or aesthetic changes unrelated to wood movement are not covered. We can provide quotations for these services upon request.

Please note that refurbishment may alter the appearance and dimensions of the table due to material loss and refinishing.

Cancellations

All products are bespoke. If an order (or part of an order) is cancelled after production has started, including after delivery, Kodawari Ltd may retain up to 70% of the order value to cover irrecoverable costs and material recycling, depending on the production stage.


Postponements

If you need to postpone delivery, please inform us as soon as possible.

  • If materials are ordered but production has not started, we will store them free of charge. Once you confirm a new “ready from” date, please allow 8–12 weeks for production and delivery.

  • If production is complete and delivery cannot be accepted, we will store the finished product free of charge. If production is already underway, it will usually need to be completed.

Please note that we cannot store tables fully assembled. Stored solid wood tops are more susceptible to wood movement. If movement occurs during storage, refurbishment can be carried out using the one-time warranty refurbishment. If resulting material loss is unacceptable, we will provide a quotation for replacement materials.

Refurbishment work requires 4–6 weeks before delivery.

Payments cannot be postponed. Any outstanding balance remains due on the originally scheduled delivery date, even if delivery is delayed.
